Privacy & Cookie Policy

Effective Date: March 1, 2026 · Last Updated: March 1, 2026
This Privacy & Cookie Policy ("Policy") explains how Paperzilla Inc. ("Paperzilla," "we," "us," or "our") collects, uses, shares, and protects information when you use Paperzilla.ai (the "Service").

1. Who We Are (Data Controller)

Paperzilla Inc. 131 Continental Dr Suite 305 Newark, DE, 19713 United States
Email (privacy and support): hello@paperzilla.ai
If required by applicable law, we will designate an EU/UK representative and update this Policy.

2. Scope

This Policy applies to information we collect through:
the Paperzilla.ai website and Service,
communications with us (e.g., support emails),
product analytics and cookies (as described below).
This Policy does not apply to third-party websites or services that we do not control, even if the Service links to them.

3. Information We Collect

3.1 Information you provide

We may collect:
Account information: email address, authentication information, and account settings.
Research interests and preferences: the topics, keywords, fields, authors, sources, and filters you configure to personalize your feed.
Communications: information you send us (e.g., support requests).

3.2 Information we collect automatically

When you use the Service, we may automatically collect:
Usage data: pages viewed, features used, clicks, searches, and interactions with the feed.
Device and log data: IP address, browser type, device type, operating system, timestamps, and diagnostic logs.
Approximate location: inferred from IP address (typically city/country level).

3.3 Research publication metadata

As part of the Service, we process information about research publications, which may include:
paper titles, abstracts, keywords, publication dates, journal/conference names,
author names and affiliations (as provided by the source),
links/identifiers (e.g., DOI or other identifiers, where available).
This information is typically collected from publicly available sources or licensed feeds and is used to power discovery and filtering.

3.4 Payment information

If you purchase a paid plan, payments are processed by Stripe. We receive limited billing information from Stripe (such as subscription status, invoice history, and payment confirmations). We do not store full payment card numbers.

4. How We Use Information

We use information to:
Provide and operate the Service: create accounts, authenticate users, personalize feeds based on research interests, and deliver features.
Improve and maintain the Service: understand performance, fix bugs, and improve ranking/quality.
Analytics: measure usage and quality signals to improve relevance and user experience.
Security and abuse prevention: protect accounts, prevent fraud, and maintain Service integrity.
Billing and account administration: process subscriptions, invoices, and customer support.
Communications: send service-related messages (e.g., confirmations, notices, support replies). If we send marketing emails, you can opt out at any time.

5. Legal Bases for Processing (EEA/UK/Switzerland)

If you are located in the EEA/UK/Switzerland, we process personal data under these legal bases:
Contract: to provide the Service you requested (e.g., account access, personalization).
Legitimate interests: to secure, improve, and operate the Service, including analytics and quality measurement (balanced against your rights).
Consent: for non-essential cookies where required (see Cookies section).
Legal obligation: to comply with applicable laws, lawful requests, and recordkeeping requirements.

6. AI / Automated Processing and Model Training

Paperzilla uses automated techniques to filter and enhance research information and personalize your feed.
No user-content model training: We do not use your research interests/preferences or other account inputs to train third-party models, and we do not send your inputs to third-party model providers for processing.
No human review of your inputs: We do not routinely have humans review your research interests/preferences. We may access account information only as needed for support, security, or legal compliance.

7. How We Share Information

We may share personal information with:
Service providers (processors): companies that help us run the Service (e.g., cloud hosting, database providers, monitoring, email delivery, customer support tooling).
Stripe: for payment processing and subscription management.
Analytics providers: including Google Analytics 4 (GA4) (see Cookies section).
Legal and safety: if required by law or to protect rights, safety, and security.
Business transfers: if we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.
No advertising "sale" or "sharing": We do not sell personal information for money and we do not share personal information for cross-context behavioral advertising.

8. International Data Transfers

Paperzilla is based in the United States. If you access the Service from the EEA/UK or other regions, your information may be transferred to and processed in the United States and other countries where our service providers operate.
Where required, we use appropriate safeguards for international transfers, such as the European Commission's Standard Contractual Clauses (and the UK addendum where applicable), along with additional measures as appropriate.

9. Data Retention

We retain personal information for as long as necessary to:
provide the Service,
maintain legitimate business records (e.g., billing and compliance),
resolve disputes,
enforce agreements, and
maintain security and prevent abuse.
In general:
Account and preference data is retained while your account is active.
If you request deletion, we will take steps to delete or anonymize personal data within a reasonable period, subject to legal and operational requirements.
Residual copies may remain in backups for a limited time.

10. Security

We implement reasonable technical and organizational measures designed to protect personal information (e.g., access controls, encryption in transit, monitoring). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Your Rights and Choices

11.1 Email preferences

You can opt out of marketing emails using the unsubscribe link (if present) or by contacting hello@paperzilla.ai. Service/transactional emails (e.g., billing, account notices) may still be sent.

11.2 GDPR/UK GDPR rights (EEA/UK users)

Depending on your location, you may have rights to:
access your personal data,
correct inaccurate data,
delete personal data,
restrict or object to processing,
data portability,
withdraw consent (where processing is based on consent),
lodge a complaint with a supervisory authority.
To exercise these rights, contact hello@paperzilla.ai.

11.3 U.S. state privacy rights

Depending on your state, you may have rights to access, delete, and correct certain personal information, and to opt out of certain processing defined by law.
Because we do not sell personal information or share it for cross-context behavioral advertising, typical "Do Not Sell/Share" requests generally will not apply to our operations — but you can still contact us at hello@paperzilla.ai with any request.

12. Cookies and Similar Technologies

We use cookies and similar technologies (e.g., local storage and pixels/SDKs) for core functionality and analytics.

12.1 Cookie categories

Strictly necessary cookies: required for core site functionality, security, and session management.
Analytics cookies: help us understand how the Service is used and improve relevance and quality (e.g., GA4 and in-house analytics).
Functional cookies (if used): remember preferences (e.g., language or UI settings).
We do not use advertising or retargeting pixels.

12.2 Google Analytics 4 (GA4)

We use GA4 to measure site and product usage. GA4 may set cookies such as:
_ga (typically used to distinguish users; often persists up to 2 years),
_ga_* (typically used to persist session state; duration can vary).
Cookie names and durations can vary based on configuration and Google changes.

12.3 In-house analytics

We also use custom, in-house analytics focused on quality and relevance measurement. This may use first-party cookies or local storage to measure feature usage and improve the Service.

12.4 Managing cookies

You can control cookies through:
our cookie banner / consent manager (where required),
your browser settings (block or delete cookies),
Google's tools for controlling analytics (where applicable).
Blocking some cookies may affect Service functionality.

12.5 Do Not Track

Some browsers send "Do Not Track" signals. Because there is no universally accepted standard, we do not respond to these signals in a uniform way.

13. Children's Privacy

The Service is not intended for children, and we do not knowingly collect personal information from children under 13 (or under 16 in some jurisdictions). If you believe a child provided personal information, contact hello@paperzilla.ai.

14. Changes to This Policy

We may update this Policy from time to time. We will update the "Last Updated" date and, if changes are material, provide additional notice where required.
